KiC Announcements for 06/17/2023 - Summer Camp Edition

THINK SAFETY!


During my time in the military, I had the privilege of working alongside men and women that engaged in very dangerous jobs. These professions relied heavily on well defined procedures and checklists to ensure risk and mishaps were minimized. It was an honor for these Airmen to receive a “Break the Chain” award that recognized an effort to prevent a problem from occurring by disrupting the chain of events that could lead to a safety issue.


Allergic reactions to peanut and various tree nuts can be quite severe, life threatening in some cases. While it is an empowering experience for your student to prepare his/her own lunch, your assistance in ensuring that lunch does not contain peanut or tree nut ingredients is well worthy of a “Break the Chain” award. Another phrase we use a lot in the military is “trust but verify”. We ask that you help keep everyone safe by verifying what is included in your student’s lunch.



SUMMER CAMP SCHEDULE


The Summer Camp schedule of field trips and swim days has been added to the Google Calendar for your review and familiarization. You can view the calendar from our website or subscribe to it so you’ll have information available on your phone or tablet as well. Schedules do change based on weather, location closures, and other circumstances outside of our control. Staff will communicate any changes, but the calendar is another helpful tool.



PROCARE APP


If you would like to receive an invite to use the new Procare mobile app, let me know and I’ll trigger that invite to be sent.


My standard warnings: the app is owned by Procare, who manages its functionality. I have very little influence over what occurs in the app. The app is a great tool for communicating with Ms Shawna/Ms Ciara. You can make payments within the app, but the recurring payment option has not been reliable for some of our parents. I recommend coordinating with me if you’d like to setup an autopay option.


Also, the app allows you to view schedule and authorized pickup names, but you cannot make updates within the app because data does not sync back upstream. Let us know of changes, we’ll make the updates in the main system, then you can confirm once the downstream sync occurs.


In short, the app has some value but it is not the greatest implementation. Good thing it's free.



REMINDER: PROCARE CHECK-IN / CHECK-OUT PROCEDURES


Properly checking your students into our care every day is VERY IMPORTANT. This ensures we have proper accountability in the event of an emergency. It also provides accurate information for state reporting purposes. Please use the Procare kiosk to check your students in using your PIN/Password. If you need help with a PIN/Password or navigating the computer interface, please ask the staff as they open the door to allow your students in.


When picking up students, all adults are REQUIRED to show their ID. Being prepared to do so will alleviate frustration for all parties. This is non-negotiable.


Procare only sends these emails to the legal guardians. Please ensure the grandparents, aunts, uncles, siblings, family friends, etc. that you authorize to pickup your students are aware of these procedures.

SUMMER CAMP PAYMENT INFO


Your prompt tuition payments are very important in helping us keep our tuition as low as possible. Late payments require us to need a larger cash reserve to ensure rent, payroll, activities, buses, and everything else associated with Summer Camp is paid timely. Thank you for remaining current with your payments and helping us serve you at an affordable cost.


There are a couple of federal holidays during Summer Camp, Memorial Day and Independence Day. You will not see a reduced tuition during those weeks. When creating our summer budget and payment schedule, we plan out all costs, activities, etc. and divide this by the 11 week program, not a daily rate. I just want to provide this information in advance to help avoid confusion at the time of billing since this always leads to some questions. The alternative would be to increase the weekly tuition by a few dollars so I could then show we didn’t charge for the 2 holidays. The math works out the same, but the second option is simply more complicated. Please let me know if you have any questions.



AUTOPAY ONLINE REGISTRATION FORM


If you’d like to sign-up to have payments automatically applied to your banking account, debit card, or credit card, a new option is now available to complete an online form, bypassing the printed form process. A button has been placed on our website that should initiate an email to me requesting the online registration link. The link expires 24 hours after being sent, making this request coordination necessary. If the button to email me does not function properly (some mobile browsers don’t like these buttons), simply send me an email to request the online registration form.
